Punch card template: how to design it properly – and when digital is better
You want to reward your regulars and are looking for a **punch card template** you can print tonight? Fair enough – a paper loyalty card is quick to make, and every customer understands it straight away. But so that it doesn’t end up crumpled at the bottom of a jacket pocket after two weeks, it is worth taking a closer look: What belongs on it, which format works, how many fields are right? And at what point is a free digital card simply the better template?
The key points at a glance
A good punch card template needs business card format (85 × 55 mm), a clearly worded reward, 6–10 stamp fields, your logo and a back side with the terms. Paper is cheap to start with, but it has clear limits: printing costs, forgeries, lost cards, no customer data. The digital version takes just as little time to set up – only without a printer.
The quick start
What a punch card template can do for your business
A punch card template – free from the internet or built yourself – is the simplest way to start a loyalty program. You need no technology, no training and no big budget. The customer gets a card, you stamp it on every visit, and after a fixed number of stamps there is a reward. This principle works in a café just as well as at the hairdresser or the car wash.
The real value doesn’t lie in the paper, but in the signal: “I’m glad when you come back.” A punch card makes loyalty visible and gives the customer a small goal. Someone who already has five of ten stamps is more likely to pick you over the shop across the street for their next coffee.
For this effect to really kick in, though, the card has to be well made. A carelessly printed template with an unclear reward and far too many fields feels more like a chore. That is exactly what this guide is about: how to design your own punch card that customers like to keep – and where you should honestly know what paper can’t do.
Checklist
What every punch card template should include
Before you open a tool, a quick stocktake is worth it. Every template should contain these elements, whether you build it in Canva, Word or as a finished PDF:
Mandatory content for your punch card
- Logo and name of your business – easy to read, not too small.
- The reward in one sentence, for example “The tenth coffee is on the house”.
- Stamp fields in a clear layout, big enough for your stamp (at least 10–12 mm in diameter).
- Short terms: one stamp per visit or from a certain purchase value, cannot be combined with other offers.
- Contact details: address, phone number, opening hours or website – ideally on the back.
- A field for name or date (optional), so lost cards stay traceable.
- A validity note if you want to limit the offer in time.
Step by step
Design your own punch card: 6 steps to the finished card
Whether you start with a printable punch card template or from scratch, the process is always the same. Plan about an hour for the first version, plus the time for printing.
Choose the format
5 minPick the business card format 85 × 55 mm. It fits in any wallet, every print shop knows it, and almost all tools have a matching template. Allow 3 mm bleed per side if you have it printed professionally.
Define the reward and the number of fields
10 minDecide first what the reward is and after how many visits. The reward should feel worthwhile to the customer and stay affordable for you. The number of fields follows from how often people visit (see the table below).
Choose a tool
5 minCanva offers many free designs in business card format. If you prefer working offline, Word has suitable label sheets under “Business cards” – a punch card template for Word can be adapted in a few minutes this way. Ready-made PDF templates are the fastest, but the least individual.
Design the front
20 minLogo at the top, reward as the heading, stamp fields in two rows underneath. Use your brand colors, but keep the fields light so the stamp ink shows up well. Less text is more.
Fill in the back
10 minThis is where the terms, address, opening hours and possibly a QR code to your website or Instagram profile go. The back is also a good place for a short line like “Thanks for being here”.
Choose paper and stamp
10 minUse matte paper of at least 300 g/m² – glossy paper smears stamp ink. An individual stamp with your logo protects against forgery far better than a standard smiley from the stationery shop.
Tip
Give new customers the card with one or two stamps already in it. Anyone who starts with a head start sees the goal as closer and is more likely to stick with it.
From draft to card
Printable punch card template: print it yourself or use a print shop?
Once your template is ready, the question of printing comes up. For a first test your own printer is perfectly fine: with perforated business card sheets from the office supply store you get ten cards per A4 page, neatly separated and without a cutting machine. That way you can quickly see whether fields, font size and stamp work together before you put money into a larger print run.
For ongoing use, an online print shop is usually worth it. The cards are sturdier, the colors richer and the unit price drops with volume. But it is better to order a small batch and reprint later than to order thousands of cards straight away. In the first few weeks you will often notice that the reward or the number of fields isn’t quite right yet.
Export your file as a PDF with bleed and embedded fonts. This prevents the most common printing errors: cut-off logos, white edges or suddenly swapped fonts. If you work in Word, check the page margins before exporting – Word is built for running text, not for borderless printing.
The right length
How many fields does your punch card template need?
Too few fields make the reward expensive, too many make it unreachable. As a rule of thumb, the customer should be able to fill the card within about two to three months. If someone rarely comes in, they need fewer fields than someone who grabs a coffee every day.
The following overview is a starting point, not a law. We work through this in detail in the article “How many stamps for a reward?” – including the calculation of what a reward really costs you.
When it comes to the reward itself, a little creativity pays off. A free product almost always works, but a small experience – such as an exclusive taste sample or an upgrade – often stays in people’s memory longer. You’ll find inspiration in our reward ideas for punch cards.
From practice
Common mistakes with free loyalty card templates
Many businesses download a free loyalty card template, add their logo and print straight away. That is understandable, but it often leads to avoidable problems:
- Unclear reward: “A surprise when the card is full” sounds nice but hardly motivates anyone. Customers want to know what they are working towards.
- Too many fields: 20 stamps for a free coffee are no longer a reachable goal for most customers.
- Fields too small: if your stamp doesn’t fit inside, the card quickly looks messy.
- Glossy paper: the stamp ink smears and customers get marks on their fingers.
- No terms: without a note like “one stamp per visit” you get awkward discussions at the till.
- Standard stamp: anyone can buy a smiley stamp for a few euros.
- Print run too large: if you order 2,000 cards and then want to change the reward, you are left with a pile of scrap paper.
An honest look
Where the paper punch card reaches its limits
Even the best-designed template remains a piece of paper. That is charming, but it comes with weaknesses that design can’t fix. Know them before you print:
Ongoing printing costs
The template is free, the printing isn’t. Cards, your own stamp and reorders add up – and every change to the reward or design means a new print run.
Forgery and misuse
Stamps can be bought, cards can be copied, and on a busy day a double stamp hardly stands out. You can’t really control this.
Lost cards
Cards get forgotten, washed or thrown away. With every lost card, the motivation to start again from zero disappears too.
No customer data
You don’t know how many cards are in circulation, who your most loyal customers are, or who hasn’t been in for weeks.
No reminders
A paper card never reminds anyone on its own. You can’t remind customers of an almost full card or a new promotion.
Hard to change
Seasonal promotions, double stamps on quiet days or a new reward can only be put into practice on printed cards with a new print run.
In short, the difference looks like this. You’ll find the detailed comparison with all pros and cons in the article “Paper punch card vs. digital”.
The alternative
The digital card: a punch card template without a printer
If you think about why you are looking for a template in the first place, the answer is usually: I want to start a loyalty program quickly and without costs. A digital punch card does exactly that – except that printing is gone and the limits mentioned above go with it.
With Stempely, it works much like filling in a template: you upload your logo, choose your colors, set the number of stamps and formulate the reward. Then you get a QR code to place at the till. Your customers scan it with their phone camera and save the card directly to Apple Wallet or Google Wallet – alternatively they use the free Stempely app for iOS and Android. Stamping works via QR code or NFC.
The difference from paper shows afterwards: the card doesn’t get lost, because it lives on the phone. Each customer automatically gets only one stamp per day. In the dashboard you see how many customers take part and who has been away for a while, and you can remind them of promotions with a push notification. And if you want to change the reward, you simply change it – without a new print run.
Stempely is free for up to 25 customers, with all features, and built to be GDPR-compliant. That makes the digital card just as risk-free as a free template. We show you how to set it up step by step on the page “Create a free punch card”.

Decision guide
Paper or digital: which template fits when
A printed card can make sense if you only want to test a loyalty program briefly, for example for a weekend event, or if most of your customers deliberately go without a smartphone. As a supplement for individual regulars who simply won’t pull out a phone, paper still has its place.
As soon as you want to build lasting regulars, find out whether the program works, or are tired of reprints and stamp disputes, the digital card is the better template. Many shops run both in parallel for a while: existing paper cards run out, new customers start digitally right away. A small thank-you for switching, such as a free extra on the first digital visit, makes the change pleasant.
A practical side effect of the digital version: you don’t have to commit forever. If after a month you find that ten stamps is too many for your customers, you simply switch to eight. If you want to run a promotion in the quiet season, you send a message to everyone already taking part. On paper, both would mean a new print order.
Whatever you decide, the basic rules from this guide apply to both options. A clear reward, a reachable number of fields and an appealing design with your logo make the difference between a card that stays in the wallet and one that ends up in the bin.

Frequently asked questions about punch card templates
What format should a punch card template have?
The business card format 85 × 55 mm has proven itself. It fits in any wallet, is standard at print shops and is available as a template in Canva or Word. For professional printing, plan for 3 mm bleed per side.
Where can I find a free punch card template?
Free designs are available in Canva, for example in the business cards section. In Word you’ll find matching business card layouts among the templates, which you can adapt into a punch card. Alternatively, a digital punch card from Stempely is free for up to 25 customers – there you fill in the “template” directly online.
How many stamp fields are ideal?
That depends on how often your customers visit. Cafés and bakeries do well with 10 fields, hairdressers rather with 5–6. As a rule of thumb, a customer should be able to fill the card within about two to three months.
How do I prevent misuse of paper punch cards?
You can’t prevent it completely. An individual logo stamp, a name or date field and clear terms on the back help. Digital cards solve the problem at its root: at Stempely, each customer automatically gets only one stamp per day.
Which paper is suitable for punch cards?
Matte paper or card stock of at least 300 g/m². Glossy surfaces take stamp ink poorly and smear. Uncoated paper also looks high-quality and can be written on with a ballpoint pen.
Do my customers need an app for the digital card?
No. Customers scan the QR code with their phone camera and save the card to Apple Wallet or Google Wallet. If they want, they can also use the free Stempely app for iOS or Android.
